What gets set up
A B2B site or catalog
Your standard products with units, minimums and prices, read from a Google Sheet you edit. If you make to order, the quote form asks for what your quotes need: specs, quantities and dates. If you already have a site, the catalog and the quote form are added to it or live on a subdomain.
The quote flow
Form, automatic reply in minutes, the request sorted by volume and type of customer, logged in a tracking sheet, and a link to book a 20-minute call.
AI assistants
Set up with your rules (minimums, price breaks, materials, lead times, Incoterms) to draft the quote, the call brief and the follow-up, and to answer product questions for your team.
Your quote template
A PDF quote with your brand, a measurement of where you start, and a recorded handover session.

Coffee Go GreenGreen coffee supplier, Co. Galway, IrelandI redesigned and built their English B2B site, on their brand and their copy: a page with their green coffee lots and filters, and a quote form that asks for the volume.
B2B site in EnglishLots with filtersQuote formNot open yet, so there’s no link. The eight in Colombia are food and retail businesses and Coffee Go Green supplies green coffee; none is a manufacturer yet. The quote flow and the AI assistants are what I set up for you, and no client runs them yet. On a second call, bring a recent quote request with the names removed, and we walk through how it would be handled.
How we start
- A 20-minute video call. You show me how a quote request is handled today and where your prices live. I tell you what I would set up and what I would not.
- A written proposal with the scope, the one-time setup and the fixed monthly fee, in US dollars.
- Setup takes 3 to 6 weeks, depending on scope. Half of the setup when you sign, half when it goes live.
- Then I keep it running: prices in sync, the quote flow watched, the assistants tuned, and one page a month on how it went.
20 minutes, on video
Pick a time that suits you. Bring one recent quote request (names removed) and your price list or pricing rules. We look at how they’re handled today. In English or Spanish.

- ERP integration beyond exporting to a sheet or a CSV.
- Answering your buyers. The system prepares; your team replies.
Is this for you?
A good fit if you
- Make, distribute or import products and sell them to other businesses: restaurants, shops, contractors, manufacturers, other distributors.
- Have a price list or pricing rules (by product, material, quantity or volume) that move with costs, tariffs, containers, exchange rates or seasons.
- Get quote requests by email, phone, WhatsApp or a form nobody checks in time.
- Have no one of your own for the website or digital operations.
Not a fit if you
- Sell to consumers or dropship. Shopify and its apps are cheaper for that.
- Already have a customer portal or an ordering login.
- Need deep ERP integration (SAP, NetSuite, Dynamics) or a technical product configurator.
- Want the AI to send quotes or prices on its own, with nobody approving.
- Need a dedicated team, 24/7 support or certifications such as SOC 2.
Maybe, if you
- Make everything to order with no price list. The quote form, the automatic reply, the tracking sheet and the follow-up drafts still fit; the live catalog may not. We find out on the call.
Questions
Why not just buy HubSpot?
You can. HubSpot is the software: someone still has to set it up, connect it to your price list and keep it running. This is the system set up and running, with someone looking after it every month. If you already use HubSpot, we look at building on top of it.
What if the AI sends a buyer the wrong price?
It can’t. The AI drafts; a person on your team approves everything that goes to a buyer or moves money. That rule comes with every setup, and it is not negotiable.
I make everything to order. Does this work for me?
Partly, and we’ll know on the call. The quote form, the automatic reply, the tracking sheet and the follow-up drafts work the same for made-to-order work, and the assistant drafts from your costing rules: material, quantity, lead time. The live price catalog only helps with standard products. If every quote is an engineering job with no rules to write down, I’ll tell you.
Have you done this for a manufacturer?
Not yet. The work I can show you is for food and retail businesses in Colombia and a green coffee supplier in Ireland; the closest to you are that supplier and a meat wholesaler. That’s why, on a second call, we walk through one of your own recent quote requests, with the names removed.
What do you need from me?
Your product list with units and prices in a sheet (or the Excel it comes from), two or three past quotes and your rules: minimums, price breaks, lead times, Incoterms and payment terms. Access to your domain, hosting and email, never with passwords sent by chat. And one person who answers within a business day and approves the copy.
You are in Colombia. How does that work?
Bogotá is on UTC−5 all year: the same clock as New York in winter and as Chicago in summer, so calls happen during your working day. In English or Spanish.
